Privacy Policy
Last updated: 16 June 2026
Pocket Sister is a private companion for tracking your cycle and navigating perimenopause, delivered through WhatsApp. Because the service helps you record how you're feeling, it handles health information, which UK data protection law treats as “special category” data. We take that seriously, and this policy explains in plain English what we collect, why, and the control you have over it.
1. Who we are
The service is provided by Reasonbee Communications Ltd (“we”, “us”), the data controller for your information.
- Company number: 11260154 (registered in England & Wales)
- Registered office: 11 Granby Road, Stretford, Manchester, M32 8JL
- Contact: pocket-sister@reasonbeecomms.com
2. The information we collect
| Type | Examples |
|---|---|
| Account & contact | Your WhatsApp number and the name you choose to give us. |
| Health information you share | Cycle dates, symptoms, medications you mention, and how you tell us you're feeling. |
| Conversations | The messages you exchange with Pocket Sister. |
| Billing | Subscription status. Card payments are handled entirely by Stripe — we never see your card details, and no health information is ever shared with Stripe. |
3. Why we use it, and our legal basis
We only use your information to provide and run the service you've asked for.
- To deliver the service (tracking, reminders, conversation) — our legal basis is performance of our contract with you.
- To process your health information — our legal basis is your explicit consent (UK GDPR Article 9(2)(a)). We ask for this clearly when you start, and we record what you agreed to and when.
- For optional features (such as proactive check-in messages, or sending a note to a partner) — only with your specific consent, which you can change at any time.
4. What we will never do
- We never sell your data.
- We never use it to train AI models.
- We never use it for advertising.
5. Who processes data on our behalf
We use a small number of trusted providers, each under a data-processing agreement:
| Provider | Purpose |
|---|---|
| Meta (WhatsApp Business Platform) | Delivering messages to and from you. |
| Anthropic | Powering the conversation. Your data is not used to train their models. |
| Hostinger | Secure hosting, in a UK/EU region. |
| Stripe | Payments only — no health information. |
| Cloudflare | Serving this website only — no health information passes through it. |
6. Where your data lives
Your information is stored on servers in a UK or EU region. It is encrypted in transit and at rest, including in our backups.
7. How long we keep it
| Information | Kept for |
|---|---|
| Your health record | While your account is active; deleted within 30 days of closure. |
| Conversation messages | A rolling 12 months, then the raw chat is removed. |
| Consent records | 6 years after closure (legal record). |
| Billing records | 6 years (HMRC requirement). |
| Backups | Encrypted, on a 30-day rotation — deleted data leaves backups within that cycle. |
8. Your rights
You can exercise any of these simply by asking Pocket Sister in chat, or by emailing us:
- See your data — ask for a copy of everything we hold.
- Correct it — tell us anything that's wrong and we'll fix it.
- Delete it — ask us to delete your account and data; we complete this within 30 days.
- Take it with you — get your data in a portable format.
- Withdraw consent — at any time, without affecting what we did before.
If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first.
9. Age
Pocket Sister is for adults. You must be 18 or over to use the service.
10. Not medical advice, not a medical device
Pocket Sister is a wellbeing companion. It does not diagnose, monitor, predict, treat or prevent any medical condition, and it is not a substitute for advice from a doctor, pharmacist or other healthcare professional. Always seek professional advice for medical concerns.
11. Changes to this policy
We may update this policy as the service develops. We'll post any changes here and, where they're significant, let you know in chat.
